About this role
Role Description:
This position is responsible for providing administrative support to the senior management individual(s) in Japan.
Responsibilities:
Providing secretarial and administrative support to the senior individual(s) in Japan office.
Answering incoming calls to the individual(s) and interacting with clients/prospects, as necessary, and internal staff and senior-level executives
Scheduling a variety of meetings/conference calls/video conferences with other members of BlackRock, clients and prospects.
Arranging international and domestic travel and producing travel itineraries and meeting preparation
Providing administrative assistance for visitors from other office locations
Processing AMEX and out of pocket expense reports using the internal expense tool (training will be provided)
Filing, faxing, scanning and photocopying as needed
Liaising with facilities, post room, print room and couriers
To perform general divisional duties to include: ordering stationery, general technology support, printer maintenance, preparing the agenda for team meetings etc.
Draft standardized memos and take minutes of the meetings

Skills and Qualifications:
The ideal candidate will have previous administrative experience working within a corporate environment, with the ability to interact with high-level executives and understand the importance of dealing with highly confidential information.
The successful candidate will also possess the following:
High level of organizational and time management skills, with the ability to multi-task, and prioritize work loads
Ability to remain flexible with constantly changing priorities
Ability to remain detail-oriented while working within a fast paced environment in a calm and efficient manner
Ability to work individually and as a member of a team
A desire to take ownership of their work and possess a strong work ethic
A positive, proactive attitude
The maturity and sound judgment to interface with senior-level executives
Proficient computer skills (MS Word, Outlook) and a working knowledge of PowerPoint and Excel
Previous experience in financial industry
Fluent English and native level Japanese
